Team and user management

Manage users to control who can access your Bolster account. Set permissions for different users depending on their role.

The 'Users' screen allows you to:

  • View all users in your company

  • Invite new teammates

  • Assign roles and permissions

  • Keep your user list clean as your team grows


Before you start

You need admin permissions for your company.

If you don’t have admin access, you won’t see the Manage users option.


Open Manage users

  1. In Bolster, click your name and icon in the bottom left.

  2. In the menu that opens, click Manage users.

This opens the Users screen.

Understand the Users screen

The Users screen shows every user connected to your company.

You’ll typically see:

  • User (name + email)

  • Status (ex: Active)

  • Phone

  • Email

Helpful tools on this page:

  • Search this table (top)

    • Find users fast by name or email

  • Columns

    • Show or hide table columns

  • Create new (top right)

    • Invite a new team member

You may also see role badges beside each user (example: Admin, Client).
These help you confirm who has access to what.

Invite a new team member

  1. Click Create new (top right).

  2. Enter the user’s email address.

  3. Click Choose roles.

  4. Select the role you want to assign.

  5. Click Send invitation.

Invite multiple users at once

In the Invite your team modal:

  • Click Add another user

  • Add another email

  • Assign roles for each person

  • Send invitation

Use this when onboarding a new crew or office team.


Edit an existing user

From the Users screen, use it to:

  • Confirm someone’s role(s)

  • Check if they’re active

  • Spot duplicate accounts (ex: the same person invited twice)

Exact edit controls depend on your permissions and company setup, but this page is your starting point for access management.


Teams vs users (how to think about it)

Users are individual logins.

Roles decide what each person can do.

A simple setup that works for most contractors:

  • Owner / Admin

    • Full access

  • Sales / Estimators

    • Estimates + proposal tools

  • Project team

    • Projects, schedule, tasks, and messages

  • Bookkeeping

    • Payments, invoices, reporting (if enabled)

Ask yourself:

  • Who needs full access, and who only needs access to their part of the job?


User limits and billing

Your subscription package controls how many active users you can have.

If you add more users than your plan includes:

  • You may need to upgrade your package

  • Or you may see additional seat costs
