Lead Management

Bolster’s Lead Management feature helps you capture, organize, and convert leads into estimates and projects — all from one centralized pipeline. Every job in Bolster starts with a lead, making this feature the foundation of your sales workflow.

Overview

With Lead Management, you can:

  • Capture new leads manually or automatically

  • Track lead status and ownership

  • Convert leads into estimates in one click

  • Keep all sales activity organized in one place

Leads and clients live in a single unified workflow, ensuring nothing falls through the cracks.


Accessing Leads

  1. Log in to https://app.bolsterbuilt.com

  2. In the left-hand navigation, go to:
    Sales and estimating → Leads

This opens the Leads table, where all incoming and existing leads are managed.


Understanding the Leads Table

Each row in the table represents a lead or potential client.

Columns Explained

  • Client – Name of the lead or customer

  • Status – Current lead state (Active, Stale, Abandoned)

  • Time created – When the lead was added to Bolster

  • Owner – Team member responsible for the lead

  • Next step – Recommended action (e.g. Build estimate)

Leads remain in this table until they are either converted or intentionally abandoned.


Lead Statuses

Leads are grouped into status views to help prioritize follow-ups:

  • Fresh – New or recently added leads

  • Stale – Leads with no recent activity

  • Abandoned – Leads you are no longer pursuing

Regularly reviewing these views helps keep your pipeline healthy and up to date.


Searching, Filtering, and Customizing

Use the tools in the top-right corner of the Leads page to tailor your view:

  • Search this table – Quickly find a lead by name

  • Columns – Show or hide columns based on your workflow

  • Reset filters – Clear all active filters

This allows each user or team to work from a view that matches how they sell.


Creating New Leads and Estimates

Click + Create new in the top-right corner of the Leads page to open the creation menu.

Available Options

New Estimate

Create an estimate for a new or existing client.
This is the fastest way to move from lead to quote.

New Client / Lead

Create a lead now and build the estimate later.
Ideal for early-stage inquiries or qualification calls.

Lead Form

Create a lead capture form for your website, landing pages, or QR codes.
Submitted leads automatically flow into your Bolster pipeline.

Marketing Campaign

Create and track marketing campaigns and see how they contribute to incoming leads and ROI.


Converting a Lead into an Estimate

To move a lead forward:

  1. Find the lead in the Leads table

  2. Click + Build estimate in the Next step column

  3. Complete and send the estimate as usual

The estimate remains linked to the original lead, preserving the full sales history.


Lead Ownership

Each lead is assigned an Owner, which helps ensure:

  • Clear accountability

  • Faster follow-ups

  • Better team coordination

Assigning owners prevents leads from being missed or duplicated.


Lead Sources

Leads can enter Bolster through multiple channels:

  • Manual entry by your team

  • Website Lead Forms

  • Marketing campaigns

  • Integrations and automations

All leads are centralized in the same pipeline, eliminating the need for external CRMs or spreadsheets.


Best Practices

  • Create leads as soon as an inquiry comes in

  • Review Fresh and Stale leads daily

  • Assign an owner to every lead

  • Build estimates directly from leads

  • Use Lead Forms to reduce manual data entry
