Using Tasks for Project Management

The Tasks feature helps you manage work across projects and personal to-dos in one central place. Tasks improve visibility, accountability, and efficiency by making it easy to create, assign, track, and access work—directly connected to your projects.

 

What Are Tasks?

Tasks allow you to break work into actionable items that can be:

  • Linked to specific projects, or

  • Created as subtasks for additional detail and follow-up work

Admins can view and manage all tasks across the company, while individual users can focus on tasks assigned to them.


How to Access the Tasks Page

You can access the Tasks page in several ways:

  1. Sidebar Navigation

    • Open the left-hand sidebar and select Tasks (under Essentials).

  2. Quick Access Buttons

    • Click the Tasks button located among the four grey buttons beneath the AI search bar.

  1. Dashboard

    • Access Tasks directly from your dashboard.


Understanding the Tasks Page

On the Tasks page:

  • Tasks are clearly grouped by project.

  • Admin users can view all tasks across the company.

  • Tasks can be filtered by assignee using the All Assignees filter in the top-right corner.

This makes it easy to focus on specific users, workloads, or projects.

If you already have a project open:

  1. Scroll to the right-hand side of the project header (grey bar).

  2. Click Add Task.

  3. Enter the task name.

  4. Set a due date.

  5. Choose a priority level.

  6. Assign the task by clicking the user icon and selecting a team member.

  7. Save the task.

Once created:

  • The assigned user will receive an email notification.

  • The task will appear for the user each time they log in until it is completed.


Creating Subtasks

Subtasks are used to break work down further and are created directly from an existing task.

To create a subtask:

  1. Locate the task you want to add a subtask to.

  2. Click the six-dot (drag) icon next to the task name.

  3. Select the option to add a subtask.

  4. Enter the subtask name, due date, priority, and assignee as needed.

Subtasks behave the same way as tasks and help keep related work organized and easy to track.


Tasks and Subtasks in Schedules and Calendar View

  • Tasks automatically appear in project schedules.

  • Tasks are also visible in the calendar view, providing a timeline-based overview of upcoming work.


Opening Projects Directly from Tasks

 

A key productivity feature of the Tasks page is the ability to open projects directly from a task.

  1. Hover over the address or product name associated with a task.

  2. Click the arrow icon that appears.

  3. A project sidebar will open on the right-hand side.

  4. Click the project name at the top of the sidebar to open the full project.

This allows quick, seamless access to everything within the project without leaving the Tasks workflow.
